Drupal Dev Days 2025 Leuven - The aftermath

Drupal Developer Days in Leuven has come to a close and the organisation team is very happy with the way the event turned out and we’d like to share some data with you.

First of all, we sold around 310 tickets for the conference, and in total we had about 280 visitors on the busiest day (wednesday). We did have around 15 no-shows. We asked people to indicate which days they were planning on attending and ordered catering accordingly. Our catering estimates were very close on all the event, days except on Friday, our contribution day, where we had ~200 sandwiches left over after lunch. Adding a free-sign next to it was a good trigger for students on campus to help us make sure there was hardly any waste.

Financially this was a very successful event for us as well. We calculated to turn break-even at around 265 attendees (taking into account free and sponsor tickets).
We calculated to sell 20 tickets at 20 euros per piece for students and around 65 free tickets (for crew, speakers, and sponsors).
Because attendees were pretty last-minute ordering their tickets we only were in positive numbers in the last 45 days before the event. Because our numbers looked good, we decided during the conference that we were not going to ask any money for the food trucks with fries and ice cream on Wednesday evening. Our financial buffer was sufficient, and we would have liked to do a bit more, but it wasn’t really feasible anymore.

We informed the catering company that we were planning to do all-day coffee and we mentioned that developers tend to be notoriously coffee adepts. That did not sink in completely with them, as the first coffee delivery had run out already before lunch on our first day. Luckily a short phone call resolved that and they delivered around 100 liters of coffee the following days, which helped keep everyone caffeinated.
